We are currently seeking a high caliber Fleet Coordinator to join our client's team of experienced professionals in Calgary
Reports to CFO
Skills/Knowledge
Work requires knowledge necessary to understand basic operational, technical, or office processes.
Work requires the ability to read work orders, specifications, and correspondence.
Strong computer and typing skills including Excel, Word, PowerPoint, Outlook, Internet.
Demonstrates a sound understanding of basic accounting processes
Quick in mentally determining accounting solutions to problems.
Demonstrates little difficulty in assimilating new information of a numerical nature and can process this data to reach conclusions or understand inferences.
Strong communication and time management/organizational skills
Strong understanding of:
Tender Acts, related OH&S regulations and procedures relating to accident management (i.e. insurance, liability, etc.)
Federal carrier profiles
Solid understanding of mechanical procedures, vehicle and equipment applications, general vehicle and equipment specifications (Truck Management Institute Certificate);
Experience in insurance procedures, inventory management and electronic communication systems
Manage fleet card ordering and distribution through current provider
Maintenance approvals for any vehicle cost over the minimum requirement
Coordinate vehicle delivery
Prepare required documentation for new deliveries
Coordinate buyout process with vendors, including collecting all documentation
Remarketing of all company vehicles
Prepare vehicle registration documentation
Coordinating matters relating to the purchase, warranty, insurance, permits and registration of all vehicles
Prepare required documentation for new purchases
Coordinating and track the use of fleet vehicles
Monitor, track and update preventative maintenance and inspection database (excel spreadsheet)
Ensures compliance with maintenance standards and company policies and procedures
Along with GM HSE, carry out accident/incident investigations related to company owned/hired vehicles;
Monitoring the use of all company owned/hired vehicles to ensure compliance with established laws, codes, rules, regulations, policies and procedures.
Provide functional oversight of all fleet vehicles
System Administrator Fleet Complete (GPS system)
Arrange installation of GPS systems
Maintain Carrier Profile
Coordinates the induction of vehicles into the maintenance cycle by distributing the requirements to appropriate branches (part of Carrier Profile)
Maintain all company vehicle files
Maintain all company driver files
Obtain all company driver abstracts
Coordination of all vehicle repair claims under warranty
