About this role: This is a support role involving Receptionist, Administration and Secretarial duties. This role assists the Chief Operating Officer in a wide variety of work, including processing and creating documents. The role works closely with other Administration staff, Accounts staff and a variety of employees across numerous companies.
In this Key role your responsibilities include: meet and greet all guests answering and directing phone calls to numerous employees and companies meeting room management, service and organising catering; purchase of office groceries & petty cash management; receiving, sorting and distributing all internal and external mail; managing the charity donations organising couriers; printing of reports and presentations; emailing notifications to staff; processing of invoices for signing & organising expense forms; printing and adjusting Human Resource and Quality Management Systems documentation; Internet retrieval of invoices and reports; filing, scanning and other tasks as required.
Your Profile: To be a successful applicant for this role you will have experience working as a Secretary, Office Administrator, or multi-tasking Receptionist. You will be able to manage multiple jobs running in parallel, have a broad skill set, be self-motivated, have strong communication skills, be highly organised, and be flexible and adaptable.
You will be proficient in Word, Excel, and Outlook skills, be computer friendly and adaptable to new programs. You will display great people skills and maintain a high level of confidentiality in your work. You will be required to prioritise information and actions and be able to act as liaison with other key people within the company.
Experience working in Human Resource or with Quality Management Systems would be highly advantageous. This role will answer directly to the Chief Operating Officer for a Group of Companies operating in a variety of industries, including Medical, Research & Development, Property, Energy Efficiency, Lighting, Finance and Share trading.
