About the role: With blended responsibilities, this role is best suited to an ‘all-rounder’ who thrives on coordinating multiple priorities and is prepared to see their role evolve. The successful candidate will be responsible for handling a variety of office and administrative functions, while supporting a number of operational departments across a portfolio of projects. The ideal professional for the role is expertly organised, detail oriented, technically minded and able to execute ideas and initiatives quickly. Adaptable to change and prepared to expect the unexpected, the successful candidate is comfortable in a busy office environment with the ability to keep many wheels turning at once.
Key responsibilities: Coordinate administrative office tasks including supply ordering, equipment inventory and audits, conducting WHS compliance audits and office maintenance. Assist with and coordinate internal, operational and company level projects including planning, execution and associated administration, comms, meeting minutes and necessary daily/weekly/monthly updates
Ensure objectives, deadlines and dependencies between departments are well documented and support achieving those deadlines. Manage and maintain selected internal communications, company intranet and SharePoint/ Google Drive content, and support the transition to new platforms. Systems based administrative tasks, including creation and removal of access, user audits and administration. Document, maintain and update policies, procedures and work routines. Assist with maintenance and preparation of reports, dashboards, manual data entry and maintenance, and ad-hoc reporting requests (in particular within Excel). Assist with department planning and WIP documentation. Coordinating meeting minutes, action items, communications & follow-up.
Qualifications and Experience: Experience in a busy office environment with multiple departments or work streams. Proven administrative experience, with the ability to organise and prioritise your work and the work of others. Technically minded, able to confidently learn new systems and software within short time frames. Proficient in Microsoft Office - minimum intermediate Excel skills. Highly motivated and adaptable to changing priorities. Strong attention to detail, confident completing written and numerical reports, entering data, maintaining filing and document storage
Personal attributes that allow for a results-driven, flexible work approach. Ability to process information with appropriate discretion and confidentiality.
Advantageous: Previous exposure to projects or portfolio coordination. Experience with analyzing data or advanced Excel skills. Exposure to ecommerce or travel industries.
