Western Cape, Cape Town, Front Desk Agent. Our client a 5 star hotel in Cape Town has a vacancy for a Front Desk Agent.

Purpose of this position is To ensure the smooth and efficient operation of the Front Desk and co-ordinate with various other departments in order to ensure personalised, prompt and flawless service to all guests. The position will also act as a ‘One Point Contact’ for all in-house guests, in case of guest requests, complaints or any other feedback. Responsibility Duties: The ability to provide accurate information to guests in a courteous manner; fill all reasonable guests request and requirements; anticipates guests needs. The ability to take messages for in-house or arriving guests in accordance with procedures, with an emphasis on accuracy and proper follow up. The ability to properly handle incoming and outgoing mail packages and faxes. The ability to know what activities are available in the city; i.e. theatre, the arts, special exhibits, concerts, shows, sports, leisure activities, sight seeing tours, etc. The ability to recite all hotel services, hours of operation, key personnel, hotel policies, etc. The ability to keep the Senior Management well informed of any guest’s concerns or complaints, and action taken. The ability to maintain the Front Desk and storage areas in an orderly manner To have detailed information about the hotel, city as well as the competition. To have detailed information regarding arrivals and room requirements. To have up to date information on daily room occupancy. To check on VIP reservations, complete their pre-registration formalities and extend to them the regular courtesies. To allocate rooms to all arriving guests. To maintain up-to date information on room rates, current promotions, offers and packages. To maintain all guest folios in the manner instructed and type out necessary guest details into the system. To co-ordinate with housekeeping for clearing of rooms. To prepare, understand and communicate all relevant daily, weekly and monthly reports and statistics. To maintain and settle the guest ledger rendering accountability for the day’s transactions. To maintain guest lockers for safe custody. To handle all incoming telephone calls as per company standards. To ensure that all check-ins and check-outs are handled smoothly without unnecessary delay or discomfort to any guest. To ensure that proper records are maintained for all telephone calls from the rooms. To ensure that all transactions are supported with the appropriate method of payments e.g. vouchers. To ensure accurate cash handover. To give proper and complete handover to the next shift.

Qualifications: Vast hotel front desk and computer experience in the hospitality industry. In-depth knowledge of all emergency procedures. Extensive knowledge of check-in and check-out procedures. Familiarity with daily hotel occupancy reports, status of rates and rooms available. Ability to manage stressful situations calmly. Good communication skills. Proven ability to solve problems and resolve guests issues. 2-3 years in a similar position in comparable hotels. Graduates from reputed hotel management schools.
