About the Role: The role is to provide day to day support to the Resilience and Emergency Coordination (REC) Branch’s programme of ongoing and project works, updating programme registers and weekly and monthly reporting, document control, invoicing and receipting and general business support including meeting coordination, prioritisation of any incoming issues, addressing or redirecting of urgent items and any other administrative matters requiring attention.

Position Outcomes / Accountabilities: Exercise professional judgement to provide day to day business tasks to all members of the REC Branch, updating programme registers and weekly and monthly reporting, document control, invoicing and receipting and general business support including meeting coordination, prioritisation of any incoming issues, addressing or redirecting of urgent items and any other administrative matters requiring attention. Coordinate monthly project, programme and financial reporting to the REC Branch leadership team and internal stakeholders. Use negotiation and influencing skills to reach successful outcomes with internal and external stakeholders in relation to programme administration policies and procedures.

Exercise professional judgement to undertake a range of administrative tasks and ensure effective communication to stakeholders both internally and externally. Exercise independent judgement to provide diary management, arrange meetings, workshops and travel including organising venues and catering. Use negotiation and influence skills to work collaboratively with the colleagues and other DTP business areas as required to ensure effective, efficient and consisted support is provided across the Branch.

Key Selection Criteria: The Department of Transport and Planning is seeking a skilled Business Support Officer to provide high-level administrative and operational support within a complex, dynamic environment. This role requires the ability to manage multiple tasks efficiently, exercise professional judgment, and maintain confidentiality while delivering high-quality services. You will be responsible for managing administrative processes independently, ensuring timely follow-up on corporate activities, and coordinating office functions to meet departmental objectives.

The ideal candidate will have excellent communication skills, particularly in reviewing and proofreading documents to ensure they meet grammar, presentation, and protocol standards. You must also demonstrate the ability to provide clear advice to stakeholders on policies and procedures, as well as manage sensitive information and inquiries effectively. Additionally, you will support the Executive by managing communications and performing minor diary and time management duties. Your professional judgment will be essential in ensuring that all tasks are completed with integrity and transparency, contributing to the overall success of the department.
