Employment Type: Casual: 5 days per week (Mon-Fri) plus some after-hours on-call work (with applicable penalty rates).
Pay: $33-$41p/h base + super (plus allowances and penalty rates for on-call work)

The Opportunity: As we continue to expand our services, we are seeking an additional Operations Support & Scheduling Coordinator to join our team. This role is at the core of the organization, responsible for the efficient coordination of daily operations so that our clients receive the utmost level of care. We are looking for a proactive and detail-oriented professional who thrives in a fast-paced environment and has experience in workforce coordination.
This role offers an exciting opportunity for someone who has strong attention to detail, exceptional communication skills, and can readily navigate the complexities of multi-tasking office-based duties whilst concurrently responding to incoming communications from support workers, participants, and other external stakeholders.
Key Responsibilities: Scheduling Co-ordination. Coordinate and manage the roster to ensure appropriate coverage for all participant needs. This includes strategic decision-making to ensure staff and other business resources are appropriately matched to specific shifts based on:
the individual needs, goals, location, and preferences of the participant to ensure a person-centered approach is applied; and the skills, availabilities, suitability, and experience of the relevant staff member; and operational and business efficiencies.
Ensure scheduling achieves legislative and Award compliance; Quickly adapt schedules due to unexpected staff absences or requested client changes; Monitor rostering trends and recommend improvements for efficiency. Data management involving the maintenance of accurate records utilising a number of IT applications; Ensure that all scheduling and operational tasks comply with relevant NDIS and Aged Care standards and regulations.
Operations Support: Establish, build and foster ongoing relationships with participants, staff, and external stakeholders; Respond to enquiries via phone, email and instant-messaging in an efficient, professional and timely nner. Action participant intake requests, variations and cancellations; Provide administrative support relating to onboarding new employees and employee management;
Provide remote support to team members working in the field with participants to ensure high-level quality services are achieved at all times; On-Call Support: Participate in an after-hours roster to support scheduling and operational matters outside ordinary weekday office hours. Proactively keep abreast of industry standards and legislative changes to ensure best practice is achieved at all times.
What We’re Looking For: someone who has: Capacity to excel in high-pressure, fast-paced situations, handle a broad workload and effectively prioritise competing tasks; The foresight to anticipate operational and scheduling challenges and proactively implement solutions; Exceptional time management and problem-solving skills; Strong interpersonal communication aptitude; High accuracy in data entry, impeccable attention to detail and the ability to see ‘the bigger icture' Innovative, solution-focused and dedicated to continuous improvement; A minimum of 12-months of rostering experience in disability or aged care; Strong understanding of the SCHADS Award; High-level proficiency with ShiftCare rostering application, Microsoft 365 suite applications, and the Asana team collaboration platform; Knowledge of the NDIS and/or Aged Care industry and associated standards; Other experience within the Disability or Aged Care industry is highly desirable; NDIS Worker Screening Check & Working With Children’s Check; Current National Police Check; First Aid & CPR Certificate (or willingness to obtain); Full Australian working rights.
