About the role: We are looking for a dynamic and enthusiastic Administration Assistant to join our team. We are seeking applicants who have experience in providing administration assistance in a similar role (or the willingness to learn and develop in this area). This position will be based at our clinic in Cockburn Central. The Administration Assistant will undertake reception and administrative tasks, ensuring that clinical staff have adequate support in order to work efficiently and ensure smooth running of the clinic.
This role is Full-time 8:30pm - 4:30pm M-F
Tasks and responsibilities: Meet and Greet clients and their families. Manage incoming telephone calls, emails and enquiries. Ensure that all enquiries are dealt with in a timely and efficient manner. Assist in booking, preparing and setting up for therapy sessions. Manage client bookings and cancellations for the clinical team. Support with client billing, funding, invoicing and taking payments. Management of office equipment, stationery and resources. Entry of client data and scanning documents. Provide administrative support to clinical staff and clinic manager as required. Manage and coordinate daily tasks, rostering and timesheets of the therapy assistant team. Maintain cleanliness of the clinic and office space.
Qualifications, skills and experience:
Essential: Minimum 1 year of experience in a similar role. Experience working with confidential and sensitive information. A positive approach to the people we support and their families. Ability to manage and coordinate meetings including agenda’s, minutes and all other related paperwork
Familiarity with office management procedures. High-level computer skills including Word, Excel, Database and Electronic Record Management System, ability to learn new applications. Website and database management skills. Staff must be enthusiastic, motivated and eager to provide care and assistance to the best of their ability whilst following company standards, policies, and guidelines as well as the National Disability Service Standards.
Excellent verbal and written communication skills. Ability to build rapport with clients and their families. Ability to take initiative and independently seek support as required. Strong organisational and time management skills. Ability to work both independently and as part of a team. Awareness and understanding of the functional and social impact of disability and the importance of social inclusion. Current Driver’s License. Current National Police Clearance and Working with Children Check. Completion of the NDIS Workers Orientation Module. Proof of working rights - passport; birth certificate; visa.
Desirable: Previous NDIS related experience and an understanding of NDIS funding is highly desirable for this role. Experience working with children and families. Qualification in Disability work or Welfare. Certificate III or IV in Business Administration. Experience using basic accounting systems (i.e. Xero).
