About the role: Reporting to the General Manager, Asia Pacific, the role is responsible for providing support services for the overall business unit. This includes performing both routine and specialist tasks and assignments based on requests and instructions provided by the project teams in both Australia and the wider Pacific.

About You: You are a project administrator interested in a long-term, permanent role within a supportive team and high-performing environment. Therefore, you will be highly motivated, extremely organized, have excellent communication skills, and use your logical and lateral thinking to provide support to the business unit on a daily basis.

Our ideal candidate would have the below essential skills: I will have proficient knowledge of the Microsoft Office Suite, including Excel, Word, and Outlook. Previous experience working in an administration position in construction is desirable. Perform daily tasks with a company-centric outlook while maintaining a sense of professionalism. Showcases their ability to meet required deadlines through working in a timely manner and being organized. Excellent attention to detail and the ability to prioritise and multi-task. demonstrates outstanding relational qualities that assist in maintaining and managing relationships. Exceptional communication skills and ability to drive a strong culture, promoting our core values of being respectful, patient, flexible, accountable, and focused. Good organisational and time management skills. Use of initiative and a ‘can do’ attitude. Ability to work unsupervised and be proactive. Familiarity with web-based document collaboration systems is desirable.

Please note:  Due to the nature of the project logistics, some out-of-hours work may be required in order to provide emergency support to project teams.  Our teams safety is critical, and your ability to respond on occasion will be key.

What you will do Execute all onboarding activity for a large number of new employees entering the business, in both Australia and the Pacific. Facilitate visa applications, international entry requirements and other critical administrative tasks relating to international travel. Book flights, transfers and accommodation as required. Provide essential on-the-ground support to travelling staff members. Document Control includes setup and maintenance of a correspondence out register, transmittals and working with web-based document collaboration systems, e.g., Aconex, ProjectWise, Incite, SharePoint, etc.

Coordinating data management and information transfer, including setting up and maintaining filing systems, document logs and action item lists. Provision of general assistance to project teams, including managing leave calendar and resource tracking records, training and medicals, onboarding, and inductions of new project staff. Assisting in quality management processes in line with CE Group requirements.

Filing and retrieving documents, records and reports. Data and input for monthly reports provided to meet reporting cycle. Assisting with general administrative tasks and other duties as required.
