Position purpose and scope: The Head of the CEOs Office and Governance is responsible for the overall strategic and operational delivery of the governance program of works and CEO led projects of Y Australia.?This includes ensuring a comprehensive suite of supports to drive and enhance member experiences to work with the Y.

This role will support the executive leadership team at Y Australia as the head of governance and responsible for overseeing the day-to-day operations of some key global and national projects in the office of the CEO. The role will support the Y Australia Board President and Board members as well as key governance stakeholders across the Y.

Key Responsibilities:

Governance: Support our National Board Committees, including taking minutes, producing papers, preparing for meetings and supporting the completion of action items between meetings.

Develop filing conventions and system storage solutions for easy retrieval of key information

Establish and maintain trusted relationships with Y Australia Board and Committee members, Executive Leadership Team and Staff. Provide advice, guidance and assistance with continuous improvement with the Y Priority One standards of good governance as required by legislation or emerging best practice. Ensure that National Board and Y Safeguarding Board governance framework is current, effective and compliant with relevant company law. Advise the CEO and board on good practice in governance. 

Ensure that National Board and Y Safeguarding Board governance framework is current, effective and compliant with relevant company law. Support the Y Australia Board President and Board Chairs to coordinate successful facilitation of board meetings and support their coordination and executive support needs. Manage board processes, committee papers and circulations of agendas, minutes, discussion papers and proposals for the board and its committees. Ensure the board has all the adequate information to make informed decisions. Stay informed of industry trends, best practice, and emerging solutions for good governance.

Manage and maintain all Y Australia and Y Safeguarding policy register including the upkeep and review of governance policies. Office of the CEO Management & Project Management. Act as a trusted adviser to the CEO providing industry updates, identifying and managing risks and issues with a solution mindset. Run the day to day needs of the CEO office including providing administrative support, diary and events coordination as required. Build and lead ‘the Office of the CEO’ – developing and implementing productive ways of working with the CEO, member CEOs and senior executives in Y Australia and across the Y Federation.

Liaise with Member CEOs, senior executives and all levels of staff across the movement as directed by the CEO. Develop and maintain strong collaborative working relationships with members, actively listening to their feedback, responding and triaging their requests, and identifying solutions to address their needs on behalf of the CEO. Support the development of communications for the Office of CEO and Board, through a variety of methods, to promote and engage members in national programs, projects, events, training and other key engagement opportunities.?

Undertake special projects as directed by the CEO. Triage CEO office priorities and maintain business registers to complete tasks and follow ups in timely and responsive manner. All other duties as required.

Selection Criteria:

Demonstrated ability to undertake the requirements of this role: Demonstrated ability to provide organisational oversight, management, and leadership in meeting governance requirements within the organization. Proven experience in managing the office of the CEO and capability in undertaking project management responsibilities. Consistent track record of achieving high performance and demonstrating effective leadership qualities. Ability to effectively amplify Member Ys, ensuring their needs and interests are represented and prioritized. Demonstrated capability in delivering meaningful impact through strategic initiatives and operational activities.

Qualifications and Experience:

Essential: Experience in a complex, for-purpose organisation led by values and the commitment to social change. Experience working with at a senior management level and / or with senior stakeholders in a complex and fast-moving environment. Undergraduate qualifications in Business, governance and/or project management.

Desirable: Post graduate qualification in project management, governance, law or other related fields is desirable. Previous experience working and developing partnership models and process improvements.
