Duties: Reading, monitoring, and responding to the director’s email, Answering calls and liaising with clients competently, Preparing correspondence on your boss's behalf, Managing your manager's electronic diary, Planning and organizing meetings & arranging refreshments, if required. Organizing travel and preparing travel itineraries (director and/or family)
Writing minutes, Preparing documents for meetings, Taking dictation, Typing documents, Ordering office supplies and replacements, and Managing mail and courier services. Assist with amending documents & manage a filing system. Personal errands. Managing the office driver. Arrangement of breakfast & lunch for the director. Communication to directors' team on events and availability.
Arrangements for directors Personals, such as anniversaries and birthdays. Handling various administrative issues and making smart decisions in line with the owner’s directives including personal and/or confidential correspondence. Arrangements for family, friends, and colleagues. Management of Discovery Medical Aid submissions.
Management of doctors’ appointments, hospital, or clinic procedures. Home Insurance Claims. Management of the running of the primary residence. Assigning tasks to fellow staff on behalf of the director and following up to completion.
Minimum Experience / Qualifications: Matric, Tech-savvy, Working experience with MS Office ( especially Excel and Outlook ), Work experience as a Personal Assistant is a plus, English proficiency.
