Key Responsibilities: Answer phone calls and direct calls to appropriate parties or take messages; Contacting clients for corporate appointments.
Greet visitors and determine whether they should be given access to specific individuals; File and retrieve corporate documents, records, and reports; Open, sort, and distribute incoming correspondence, including faxes and email; Perform general office duties, such as ordering supplies, making photocopies of office documents required by the seniors, and ensuring office is in general state of cleanliness; Assist in the preparation of invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software; Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook). Order front office supplies and keep inventory of stock. Update calendars and schedule meetings. Arrange travel and accommodations, and prepare vouchers. Keep updated records of office expenses and costs. Keep updated company pre qualification documents and other necessary documents.
