Warehouse Registrar

Experienced Registrar needed for a 20th and 21st century furniture and design gallery located in Tribeca with a warehouse in Williamsburg, Brooklyn. Candidates for the position should have at least three years of experience in a gallery, museum, auction house or art handling company.
The Registrar oversees all inventory management operations and registration duties at both the gallery and the warehouse.
Job Duties & Responsibilities
Works with the gallery’s owners and directors and warehouse staff, including the restoration and lighting specialists, art handler and photographer to coordinate and prioritize the overall warehouse schedule including necessary inventory repairs, restoration and photography, the movement and storage of inventory, and all aspects of domestic and international packing, shipping and installations.
Coordinates all aspects of local transport, and domestic and international shipping and installations for sales, consignments, rentals, fairs and exhibitions. Provides time-sensitive packing and transport quotes, scheduling, and overseeing all pick ups and deliveries. Ensures proper handling, packing and documentation of work. Builds and maintains relationships with multiple shipping companies to ensure cost-effective, timely, and accurate estimates and shipments.
Maintains inventory/collections management systems, policies and procedures, including inventory management and condition reports related to the receipt, documentation, storage, restoration and preservation of inventory. Assists in the development of policies for the permanent collection.
Maintains the Filemaker Pro inventory database for tracking inventory, including descriptions, images, origin, history, provenance, exhibitions, locations, condition reports, damage/repair, sales, and generating various reports.
Maintains accurate records and labeling of all consigned and owned inventory (vintage, contemporary and limited editions), including items at gallery, warehouse and offsite storage facilities; items loaned/consigned to museums, galleries, and other institutions within NYC and worldwide; and items sold, while in the gallery’s possession prior to release to clients.
Conducts physical inventory of items periodically, verifying location and status of items.
Identifies and catalogs damaged items, prioritizes restoration needs, and coordinates restoration schedule with gallery owners/directors and restoration specialist.
Works with gallery photographer and gallery owners/directors to schedule photography of inventory and timely uploading of images in the database, as well as gallery and installation photo shoots.
Assists with planning and organizing of installation and shipping needs for fairs, exhibitions, commissions, sales, and rentals.
Interacts regularly and maintains relationships with gallery staff, clients, art handlers, installers, shippers, customs brokers and other vendors to coordinate activities.
Participates in gallery installations, openings and other events as needed, which may take place over weekends or fall outside of normal gallery hours, and may include travel.
Requirements/ skills
- Knowledge of and experience with registration standards and documentation in a gallery.
- Ability to identify and catalog damage, restoration, and environmental condition needs.
- Knowledge of proper handling, packing, storage and installation techniques for furniture, lighting, design and art
- Strong computer skills, including collections management databases, i.e. Filemaker Pro.
- Experience coordinating domestic and international fine art shipments.
- Experience with expedited and standard domestic and international post.
- Excellent written and oral communication skills.
- Interest in and knowledge of design and contemporary art and gallery operations.
- Detail-oriented and capable of prioritizing and executing multiple tasks in a fast-paced environment.
- Ability to work well under pressure while retaining accuracy.
- Ability to work in a collaborative environment, maintaining effective working relationships with staff and vendors, taking on any tasks that may be needed to support other staff.
