The opportunity: The Office of General Counsel provides legal advice and services that enable Roads and Maritime as it delivers for its customers. Our services help Roads and Maritime act lawfully, regulate effectively, put its best foot forward in inquests and court processes, protect its assets and interests, deliver projects and manage risks.
We have opportunities for Administrative Support Officers (two roles) to join the Office of General Counsel, during an exciting time of growth and structural change. These are highly varied roles supporting the lawyers across our People, Safety & Regulatory, Government, Environment & Planning, Property & Commercial and Projects and Construction teams and reporting to the Director of Legal Operations and Information.
As part of a collaborative team, these roles carry out administrative processes (including invoicing, file and document creation and management), contribute to allocated projects, identify opportunities for process improvement and liaise with internal and external stakeholders to support the effective operation of the Office.
About you: Your success is important to us, so you’ll bring demonstrated experience in providing high level administrative services and the ability to collaborate as part of a professional team. Perhaps you have been working as a Legal Secretary or have worked previously in an administrative or clerical role in a professional services firm, government agency or in-house environment.
You can balance competing priorities and deadlines from multiple lawyers, have excellent organisation skills, and demonstrate enthusiasm and initiative. You are an effective communicator who recognises the need to exercise discretion and confidentiality in handling information.
With a keen eye for detail and a flair for co-ordination, you also enjoy using technology to create more efficient administrative practices for your team. You have the ability to plan ahead, connect the dots, and think about what’s next.
You can also demonstrate: Advanced computer skills across the Microsoft Suite (in particular Word and PowerPoint) with strong document formatting skills and a working knowledge of Excel. Experience using a document management system (such as FileSite or Objective). Experience in invoice management. The ability to operate with some autonomy within the context of agreed priorities and manage the workflow of several lawyers.
Strong organisational and file management skills and demonstrated ability to take initiative. The ability to triage and prioritise incoming correspondence including telephone calls. Essential requirements. Demonstrated experience in providing high level clerical and administrative services including strong document formatting skills and a high attention to detail.
Demonstrated ability to exercise discretion and maintain confidentiality on sensitive issues. Previous experience as a legal secretary or in a legal department is desirable but not essential. For more information view the role description here.
