A dynamic and fast-growing fruit export company in Durbanville is looking for a young and energetic individual as a personal assistant to the MD.
The successful candidate must have the following characteristics and qualifications: 2 years relevant work experience. Fluent in Afrikaans and English (read, write, speak). Ability to thrive under pressure and keep calm. Advanced Microsoft Excel and Word. Code 8 driving license
The following tasks will form part of the job – description: On a daily basis manage MD's diary, update new meetings and send meeting requests, directions, and remind MD with 24hour notice. Make all travel arrangements for the MD, book flights, hotels, cars, and make changes when required. Make travel arrangements for company staff or anybody else when instructed by the MD to do so. When requested do shopping for the MD, including office, personal and household items. Collect and deliver any documents, visa applications or items to be repaired or serviced. Drive and collect MD to and from the airport at any hour or to meetings if required during working hours. When MD is away, attend to household choirs for example opening for the domestic worker, contractors, feeding the dogs. Attend meetings, keep minutes and file according to the client meeting SOP.
Keep daily track of MD's task and project list with time frames and follow up according to the deadlines. On a daily basis check email inbox, answer/attend to matters, mark them as read and resolved, red flag unresolved emails and follow up with MD by including them in the task list. Collect all invoices and receipts from the MD and do a monthly recon of his previous months expenses before the 7th of each month. Filing of all the MD's personal documents and information. Make scheduled personal EFT payments. Be available by telephone 24/7 (in case of emergency). Load MD's quality claims on QX and weekly follow up with him if finalized by keeping current a claims list. By each Wednesday provide a pivot table summary of the weekly PPECB loading data. Compile shipping and/or intake reports in excel for MD when requested. Summarize all loading data before client meetings according to the client meeting SOP and report.
Keep current frequent flyer and hotel reward programs for MD and all staff, keep track of when they expire and inform relevant personnel about upgrade options before travelling. Keep current the company office calendar. Keep inventory of office groceries and stationary. Salary negotiable. Start date - January 2018 Do not send your CV.
