Position Objective: This position is responsible to make sure all operation (Finance/Admin and Logistics/HR) of Accord Worldwide (and its affiliate offices) are in line with company policies, host country laws and international standards for business administration. The officer in charge will do perform his job by advising the CEO/management members, contributing to improve policies, procedures and formats for business administration and management and training relevant personnel. A major part of his responsibility will be training in-class, on the job and on the site of company operation and management staff to ensure operation is as per standards.
Finance: Make sure the policy of the company meets GAAP, Make sure company policy, procedures and formats are responsive to company needs, well understood by relevant staff and being implemented, make sure all accounts are up to date and entered in Quick Books on daily basis, Generate all accounting reports with analytical support to management, Take the lead to guide company management on improvement of business operation.
Administration (Admin/Logistics): Manage Headquarters’ Administration and Logistics Department. Responsible for the training and development of all Administrative and Logistics personnel in all Accord Consultants offices. This includes ensuring all personnel know and practice the relevant policies. Creating and updating administrative, procurement and logistical policies, guidelines and procedures, and after approved by Managing Director (Owner) ensure that these policies and procedures are implemented in all Accord Consultants offices. Supervise all Administrative and Logistical personnel, ensuring that they are performing their jobs efficiently and using their time effectively. Monitor all bulk and non-expendable equipment procurement in all Accord Consultants offices and ensure that such purchases are made according to the procurement policies and procedures.
Improve inventory management systems, and after Director approves it, ensure that all Accord Consultants offices put in place an appropriate inventory management system.
Ensure that there is an updated inventory list at HQ.
Create and manage an effective flow of information systems between HQ and all Accord Consultants offices through telephone, faxes, emails and posts and ensure that all official communication is properly registered and managed by Administrative personnel.
Make sure modern and cost effective approaches are used at Accord Consultants offices.
Make sure the IT policy is up to date and is being used at all Accord Consultants’ offices
Develop a Security control policy and once it is approved, ensure that it is used all over the Accord Consultant offices. This must be high-tech and cost effective to ensure secure and safe work environment and asset management.
Other duties as assigned.
HR: Make sure staff files are kept properly, Make sure field and country staff personnel are clear about HR policy and adhere to it. personnel policy must be well taught to all personnel through their supervisors and monitored by the Operation and Finance Manager
Staff accounts for salary, training expenses, advance, leaves etc. must be properly recorded in HQ and data of country offices must be obtained through their officers in charge.
Public Relation Officer: Make sure that all licenses (trade, vehicle, and any other) are monitored and renewed on timely manner. Present any government related document (including the ones from clients) to its relevant office as per the regulation of the UAE. React at high level of professionalism to all government authorities and clients Accord Consultants, Learn all the online and technology driven facilities of the government of UAE and take use of it to speed up achieving outputs, Perform any other relevant task as instructed by the supervisor.
