Senior Group Travel Consultant - Must have World Experience not only SA Destinations
Assessment of client needs:
• Special interests
• Affordability /budget
• Cultural sensitivity
Tour Design:
• planning of itinerary
• Flights: departure /arrival times to be taken into consideration
• Distances travelled to be within reason
• routing to be logical Product knowledge
• Ongoing education and updating about the destination including regions and new products in general (through various channels, including information received by Suppliers, educational and internet)
• ongoing education about company products, as well as preferred suppliers
• TDM products: actively push & investigate ways to increase sales
• Research of special interest tours Compilation & submission of Group & F.I.T. quotations to clients
• respond immediately to client on receipt of a quotation or booking request and advise when they can expect a reply. If not within 24 - 48 hour turn around time it needs to be brought to attention of management
• costing on tour plan or excel for groups if required
• forwarding our offer in company format to the client with inclusions /exclusions
• Detailed itinerary (if required i.e. client specific)
• turn-around time 24 hours
• Follow-up on quotations
• Log quotes on L-Share Quote conversion report
Supplier negotiations:
• If the client requires us to reduce costs
• Follow-up on refunds owing to us by suppliers
Filing:
• General quotes file
• Open file for all confirmed bookings
• adhere to filing system put in place
Reservations & Operations: (F.I.T’s & Groups):
• load booking in tour plan
• booking hotels, transport, meals, tour guides, car hire
• written confirmation to the agent and if not all services confirmed the agent needs to be informed of the status of the services
• advise agent of any deadlines
• check correct rates confirmed by suppliers & correct rate in Tour plan
• ensure receipt of rooming list with final passenger numbers from client
• Amendments made to passenger numbers; recast if necessary
• Guide briefing
• Preparation of guide expenses & cash advance
• ensure tour guide fees paid & collate refund of expenses
• ensure that all agents on pre-payment agreement prepays invoice in cull at least 30 days before arrival. This is not applicable to agents that have credit terms with the company
• Issue vouchers
Documentation:
• Provide detailed itinerary together with vouchers, maps & brochures
• Documents to be sent to the person meeting passengers in Cape Town
• Welcome letter and after hour contact details
Client Care:
• Personal or outsourced meet & greet at point of arrival (if booked)
• Regular contact with guide (groups) / clients (F.I.T’s)
• Handling customer complaints
• Building & maintaining of relationships
• 24 hour standby – problem solving (handle logistical problems that may arise on tours)
Creditors:
• Pre-payment to suppliers sent to accounts dept
• ensure correct voucher value inserted in tour plan
• correct account forms & procedures followed eg cheque requisitions)
Debtors:
• raising invoices in tour plan timorously
• ensure correct payment & allocation of funds in tour plan
• follow up on outstanding payments & ensure full pre-payment made before passenger’s arrival in the country. Pre-payment is not applicable to agents who have a 30 day credit agreement with us.
Reporting:
• Tour Financial Summary reports; monthly report to Team Manager
• run a weekly TFS to ensure that invoices have been issued for passengers that have arrived in SA
